Preparing a Medical Equipment Quote Request: What Suppliers Need From You
A quote request that says "please send a price for a patient monitor" usually starts a long email thread. The supplier has to ask which model, which parameters, how many, new or refurbished, where it is going and when it is needed. Each round of questions adds days. A request that answers those questions up front gets a more accurate quotation, sooner, and makes it easier to compare suppliers on equal terms.
This guide lists the information suppliers need to quote medical, laboratory and surgical equipment accurately, and explains why each item matters. It is written for hospital purchasing teams, clinic managers, laboratory managers and anyone putting together an equipment list.
1. Manufacturer and model
The single most useful piece of information is the exact manufacturer and model number. Model names alone can be ambiguous: many product families include several models, generations or variants with different features and prices.
- If you are replacing existing equipment, copy the manufacturer, model and, if possible, the part or catalog number from the label on the device.
- If you are open to equivalent models, say so, and list the features the equivalent must have.
- If you do not have a specific model in mind, describe the equipment type and its intended use (for instance, "vital signs monitor for an outpatient clinic, spot checks only").
2. Quantity
State how many units you need, and whether the quantity is firm or an estimate. If you need units delivered in stages, say so. Quantity affects price, availability and shipping method, especially for refurbished equipment, where several identical units may not be available at the same time.
3. Condition: new, refurbished or either
Say whether you need new equipment, refurbished equipment, or whether you would consider either. If you choose "either", the supplier can quote both options, which helps you compare cost and lead time. If you have conditions attached to refurbished units, such as replaced batteries, a minimum warranty or a record of electrical safety checks, list them in the request.
4. Configuration, options and accessories
Configuration is where most quotation errors happen. Two units with the same model number can have very different software options, modules and accessories. Include:
- Required functions or parameters, such as ECG, SpO2, NIBP, temperature or EtCO2 on a monitor, or specific transducers on an ultrasound system;
- Software options and licenses your clinicians rely on;
- Accessories such as cables, sensors, cuffs, probes, handpieces, batteries, mounts, stands or carts;
- Compatibility requirements, for instance "must use the same SpO2 sensors as our existing monitors" or "must connect to our current central station".
If you are unsure what a model includes as standard, ask the supplier to list the included items in the quotation.
5. Power and voltage
Equipment must match the electrical supply where it will be used. Tell the supplier:
- the voltage and frequency at the installation site (for instance, 120 V / 60 Hz or 230 V / 50 Hz);
- the plug type, if the equipment will be used outside the country where it is shipped from;
- whether a dedicated circuit, higher-current supply or three-phase power is available, for larger equipment such as sterilizers, imaging systems or some surgical tables.
Some equipment can be configured for different voltages and some cannot. Stating the supply up front avoids ordering a unit that cannot be used on site.
6. Delivery and installation location
Give the full delivery address, or at least the city and country, and describe the site:
- Is there a loading dock, or will the delivery be to a street address?
- Are there stairs, narrow doors or elevators that limit the size of what can be moved inside?
- Does the equipment need to be moved to a specific room, uncrated or assembled?
- For international shipments, who will act as the importer, and who will handle customs clearance?
The delivery location affects the freight method, packaging, cost and documentation. For heavy or bulky items, such as surgical tables, exam tables, sound booths or biosafety cabinets, these details can change the quotation significantly.
7. Installation and training needs
State whether you need installation, and what kind. Some equipment only needs to be unpacked and plugged in; other equipment, such as ceiling-mounted lights, imaging systems, sterilizers and biosafety cabinets, needs site preparation and installation by qualified personnel. Also say whether your staff need training, and whether your biomedical team will carry out acceptance checks before the equipment is used.
8. Timeline
Tell the supplier when you need the equipment, and why. A firm date, such as the opening of a new clinic or a scheduled room renovation, helps the supplier propose options that can meet it. If your timeline is flexible, say so; that may give you more options on price and condition. Also mention any deadlines on your side, such as the date a budget must be committed or the date a purchase order can be issued.
9. Documentation you need
List the documents you need with the quotation or with the delivery. Common requests include:
- a detailed quotation listing model, condition, configuration and included accessories;
- product specifications or brochures;
- the operator's manual and, where available, the service manual;
- records of the checks carried out on refurbished units;
- warranty terms in writing;
- shipping documents such as a commercial invoice and packing list for international orders;
- any documents your organization needs to register a new supplier or approve a purchase.
Requirements for importing, registering and using medical equipment vary by country and type of facility. Check the requirements that apply to your facility and location, and tell the supplier about any specific documents you need.
10. Your contact details and decision process
Include the name, role, email and phone number of the person the supplier should contact, and say who else is involved in the decision. If your organization needs several quotations, a specific quotation format or a quote validity period, mention it at the start.
A quote request checklist
Copy this list into your request and complete each line:
- Manufacturer and model (or equipment type and intended use)
- Quantity, and whether it is firm
- Condition: new, refurbished or either
- Required functions, software options and accessories
- Compatibility requirements with existing equipment
- Voltage, frequency and plug type at the site
- Delivery address or city and country, and site access details
- Installation and training needs
- Required delivery date and budget deadlines
- Documents needed with the quotation and the delivery
- Contact person and decision process
Sending your request to Phase Medical Partners
You can request a quote for one item or a full equipment list. Add products to your quote list from any product page, such as the patient monitors category, and use the additional requirements field for configuration, power and delivery details. If the equipment you need is not listed, send a sourcing request with the manufacturer, model or specifications. We review each request and respond with the available options, pricing and shipping information.
